Welcome to Nova Elite Gymnastics! We are excited to have you and your athlete as part of our Nova family!
Our goal is to provide a fun, safe, positive, and encouraging environment where athletes can build confidence, develop new skills, and grow at their own pace.
To help us provide the best possible experience for all our families, we ask that everyone review and follow the policies below.
PAYMENTS & REGISTRATION
Nova Elite Gymnastics operates on 4-week class sessions, with tuition billed monthly.
Upcoming tuition charges are posted to family accounts on the 28th of each month. This gives families an opportunity to review their upcoming bill and contact us with any questions before payment is due.
Tuition payments are due on the 1st of each month. Families enrolled in AutoPay will have their payments automatically processed on the 1st.
We understand that not every athlete's class falls on the 1st, so a grace period is provided for families paying in person. Families may make their payment at their child's first scheduled class of the new billing period, rather than making a special trip to the gym on the 1st. For example, if your child's first class falls on the 4th, you may pay at that class without penalty. Payments remaining unpaid after the 15th are subject to the $15 late fee.
Enrollment is continuous, meaning your child's spot is automatically reserved for upcoming sessions until an official withdrawal is completed.
New students may enroll at any time. Their first session will be prorated based on when they begin classes following their free trial.
A 10% sibling discount is applied to tuition for each additional child after the first.
There is a $40 nonrefundable annual registration fee per student, with a family maximum of $70. Registration fees are due upon enrollment and renew annually.
Tuition and registration fees are generally nonrefundable except where required by law or otherwise approved by management.
Tuition is considered late after the 15th of each month, and a $15 late fee will be assessed.
No tuition discounts will be applied to late payments.
Families are responsible for keeping their account balances current to maintain enrollment.
Payment Methods & AutoPay
Families may pay tuition through their Parent Portal, in person, or by enrolling in automatic payments.
Online payments and AutoPay are available through the Parent Portal.
AutoPay is optional and may be set up and managed by families through their Parent Portal.
All AutoPay tuition payments will process on the 1st of each month.
Families paying tuition by cash or check receive a $5 monthly discount, provided payment is made on time.
Families are responsible for reviewing their account charges and ensuring their payment information remains current and valid.
Questions regarding upcoming charges should be brought to our attention before the 1st whenever possible.
AutoPay is a payment method, not an enrollment agreement. Families may discontinue AutoPay without withdrawing from classes; however, tuition remains their responsibility while enrollment is active.
Disabling AutoPay or removing a payment method does not automatically withdraw an athlete from classes or eliminate tuition owed.
RECREATIONAL CLASS WITHDRAWAL & CANCELLATION POLICY
At Nova Elite Gymnastics, we understand that schedules change! We want to make withdrawing from classes as simple as possible while allowing us to maintain accurate class rosters and billing.
How to Withdraw
Families may withdraw their child from recreational classes using one of the following methods:
Parent Portal: Online withdrawal requests require 5 days' notice before the start of the upcoming session.
Email: Withdrawal requests may be submitted to novaelitegym@gmail.com. Please allow 5 days' notice for emailed requests.
In Person: Families may withdraw directly with our front desk staff at any time before the upcoming session begins, even if fewer than 5 days remain.
Tuition & Refunds
Enrollment is continuous, and your child's space remains reserved until an official withdrawal is completed.
Families who withdraw before the upcoming session begins will not be responsible for that session's tuition if payment has not yet been processed.
Upcoming tuition charges posted to accounts on the 28th are for review and may be adjusted when a timely withdrawal is completed.
If AutoPay has already been processed, tuition is generally nonrefundable. Refunds or account credits may be considered at Nova Elite Gymnastics' discretion, except where otherwise required by law.
Once a session has begun, tuition for that session remains due, and no prorated refunds or credits will be issued for early withdrawal unless approved by management or required by law.
Simply stopping attendance, disabling AutoPay, or informing a coach does not constitute an official withdrawal.
Any outstanding balances remain the family's responsibility.
Once a withdrawal is completed, future tuition billing and AutoPay associated with that enrollment will stop.
This policy helps us keep class availability and staffing accurate while giving families flexibility when plans change.
STARPASS MEMBERSHIP CANCELLATION POLICY
StarPass memberships are separate from recreational class enrollment and require 7 days' notice for cancellation.
Cancellation requests must be submitted by email to novaelitegym@gmail.com or directly through the front desk.
StarPass memberships remain active until a cancellation request is received and processed.
Requests must be received at least 7 days before the next scheduled payment to avoid another billing cycle.
Payments already processed or in the process of being generated may not be stopped or reversed.
StarPass benefits remain available through the paid membership period and end when the membership expires.
Unused membership time is generally not refundable or prorated, except where required by law.
Refunds & Account Credits
All payments are generally nonrefundable once processed, except where required by law.
In certain circumstances, Nova Elite Gymnastics may issue an account credit at management's discretion. Credits have no cash value and may be applied toward future eligible programs or services.
Nothing in these policies limits any cancellation, refund, or payment rights provided under applicable Washington State or federal law.
MAKEUP CLASSES
We understand that schedules get busy and occasionally athletes need to miss a class!
Each athlete is allowed up to two makeup options per 4-week session.
Makeup options may include attending another appropriate class or participating in an eligible Open Gym.
All makeup classes and Open Gym makeups must be scheduled or approved through the front desk.
Makeup options must be used within 90 days of the original absence.
Makeup classes are subject to availability and appropriate class placement.
Missed classes do not result in tuition refunds or credits.
ARRIVAL & DEPARTURE
Please arrive approximately 5 minutes before your scheduled class so your athlete is ready to begin on time.
Children may be dropped off no earlier than 5 minutes before class and should be picked up no later than 5 minutes after class ends.
Parents and guardians are responsible for supervising children who are not actively participating in a class.
Children waiting for class or waiting to be picked up must remain in designated areas and may not use gym equipment without coach supervision.
CLASS ATTIRE & PERSONAL ITEMS
For everyone's safety, athletes should wear comfortable clothing appropriate for gymnastics or ninja activities.
Girls:
Leotards, leggings, athletic shorts, or other appropriate athletic clothing.
Footless tights are permitted.
Bare feet are recommended for gymnastics. Socks or gymnastics shoes are also permitted where appropriate.
Boys:
Athletic T-shirts and shorts.
Clothing should not have buckles, snaps, zippers, or other items that could catch on equipment.
All Athletes:
Long hair must be securely tied back.
No jewelry, hard hair accessories, or barrettes.
No gum chewing, food, or drinks other than water during class.
Water bottles are welcome and should be placed in the blue basket near the drinking fountain.
Please leave valuables and unnecessary personal belongings at home.
PARENT OBSERVATION
We welcome parents and family members to watch their athletes!
Parents and guests are welcome to observe classes from our designated viewing areas.
Observers must remain in the viewing areas and may not enter the gym floor without staff permission.
Please keep conversations at a reasonable volume to avoid distracting athletes and coaches.
Siblings and other children must remain seated or supervised while observing.
Please avoid calling out to or coaching your child during class so they can focus on their instructor.
We encourage communication between parents and coaches! If you have questions about your child's progress, please speak with the front desk or arrange a time to connect with their coach.
SKILL PROGRESSION & ADVANCEMENT
At Nova Elite Gymnastics, we want every athlete to feel successful while continuing to be challenged!
Athletes are placed in classes based on age, experience, and skill level.
As athletes develop and master skills, coaches will evaluate their readiness to move to the next class level.
Families will be notified when their athlete is ready to advance.
Class advancement may occur throughout the year and is based on individual progress rather than a set timeline.
Parents are always welcome to ask about their athlete's progress.
Private Lessons
Private lessons are available for athletes who would like additional instruction or focused skill development.
Private lessons are $65 per hour.
Availability varies by coach and gym schedule.
Private lessons are arranged directly with the appropriate coach.
HOLIDAYS, WEATHER & GYM CLOSURES
Nova Elite Gymnastics generally follows the Burlington-Edison School District for major holiday breaks and weather-related closures.
If Burlington-Edison schools close due to severe weather, Nova Elite Gymnastics will generally close as well.
Gym closures and schedule changes will be communicated to families as soon as possible.
Additional closures may occur for special events, competitions, facility maintenance, or other circumstances.
Makeup opportunities or account credits for gym-initiated closures will be communicated when applicable.
